1. Check every character and brand detail
Read the proof aloud from left to right. Then check it backwards, character by character. The second pass helps separate what the eye expects to see from what is actually present.
For a logo, compare the proof with the approved master artwork. Look at letter shapes, spacing, icon orientation, registered punctuation and the relationship between the wordmark and symbol. If the design uses a licensed or custom typeface, verify that the proof reflects the approved letterforms. Do not rely on “same as the previous version” in an approval email. Mark the approved proof version clearly so everyone is reviewing the same file.
2. Verify the complete outside dimensions
The most common measurement mistake is checking the width of the illuminated phrase instead of the complete acrylic panel. A cut-to-shape backing can extend beyond the light path, while a rectangle or multi-panel design may add more visible material around it.
Compare the stated full width and height with the usable wall area. Leave room for trim, shelving, curtains, ventilation, doors and installation access. If the sign sits inside a booth, arch or backdrop, confirm the inside opening rather than the overall frame size.

3. Review readability at real viewing distance
A proof fills a laptop or phone screen, so a small tagline can appear more legible than it will be across a room. Reduce the proof until its total width represents the intended viewing distance, or print it at a known scale and place it where customers, guests or cameras will see it.
Check narrow letter gaps, tight counters inside letters, overlapping strokes and crowded line spacing. If the phrase only works when viewed close up, decide whether to simplify the wording, enlarge the sign or separate supporting text from the illuminated design.
4. Confirm what illuminates
Follow every proposed light path with your finger. Complex logos often combine illuminated strokes with printed or unlit backing detail. Confirm which visual elements belong to each treatment instead of assuming the whole graphic will glow.
For an RGB design, review the intended control groups as well as the colours. On our RGB signs, each independently controlled section is called a zone. If the design needs separate zones, make sure the order record and approved artwork clearly identify which sections belong together. This is different from a fixed multicolour sign, where different sections use assigned colours without changing modes.
5. Compare colour with the wall and ambient light
Screen colour is an aid, not a physical lighting test. Compare the proposed colour with the wall finish, surrounding lighting, brand palette and main camera conditions. A bright colour can lose contrast on a similar wall, while a clear acrylic edge may become more visible on a dark or highly textured surface.
Check the design both as an illuminated feature and as an object that will still be visible when switched off. 6. Inspect the backing outline and panel divisions
Trace the outside cut line, not just the tubing. Confirm the backing shape, visible border, finish and number of panels. For a multi-panel design, ask how the panels align, how much space sits between them and whether the cable layout matches the planned installation.
Minimal acrylic is not automatically the best choice. A sign that travels often may benefit from a simpler rectangular outline that is easier to support and pack. A permanent wall installation may prioritize a less visible contour. Approval should reflect how the sign will actually be used.
7. Match mounting points to the surface
Mark every proposed hole or hanging point on the wall template. Check for studs, masonry joints, glass edges, electrical lines, moulding, acoustic panels and venue restrictions. The proof does not determine which fastener is safe for the wall; it shows where the sign expects support.
If the wall construction is unknown, resolve that before approval or leave enough flexibility for the installer. Never approve a hole pattern simply because it looks symmetrical on the drawing.
8. Plan the power-lead exit
Locate the intended outlet and trace a safe cable route. Confirm which side of the sign the lead exits and whether the route stays away from doors, chairs, carts, heat, moisture and foot traffic. A short visual check here can prevent the finished cable from crossing the artwork or hanging through the most visible part of a display.

9. Consolidate revisions before replying
Choose one decision-maker. Collect feedback from the brand owner, installer, venue, photographer and other stakeholders, remove contradictions, and send one numbered revision list tied to the current proof version.
Useful feedback is specific: “Move the cable exit to the lower left because the outlet is there” is clearer than “Fix the wire.” Mark only requested changes, and re-check the complete revised proof rather than assuming untouched details remain unchanged.
What a proof cannot confirm by itself
A proof cannot fully reproduce the perceived glow in a particular room, prove that an unknown wall can carry the installation, show every reflection on glass or replace a physical site measurement. It also cannot protect a project from late approval or an unrealistic delivery deadline.
